How to Choose a School ERP

Demos show the best half-hour of a product. This checklist covers the parts that decide whether you are still happy in year three.

1. Sessions and history

Ask to see last year's data while this year is running. If promotion overwrites history, transcripts, alumni records and year-on-year comparisons are gone. Multi-session support is non-negotiable.

2. Multi-campus scoping

Even a single-campus school often opens a second branch. Check that campuses are isolated for staff but consolidated for the owner, from one login.

3. Roles and permissions

A class teacher should not see salaries; an accountant should not edit marks. Ask for permission granularity at the module and action level, plus an activity trail showing who changed what.

4. Data migration

Confirm exactly what will be imported — students, staff, fee structures, outstanding balances, past results — and who does it. Migration is where most implementations stall.

5. Resilience and speed

Test the front-desk screens on a slow connection and a cheap phone. Fee collection at 8:00 a.m. is the real benchmark, not the dashboard on office Wi-Fi.

6. Reports and printing

Result cards, challans, certificates, registers and board formats must print correctly on your paper, with your logo. Ask for samples printed from your own data during the trial.

7. Support and total cost

Clarify response hours and channel, what training is included, and the full cost — licence, SMS/WhatsApp credits, hosting, hardware and any per-module fees — before comparing quotes.

8. Run a two-week pilot

Pick one class and one full workflow (admission → fee → attendance → result). If it survives two weeks with real staff, it will survive the campus.
